Guest-Links and Token: Efficient Event Communication
Updated by Julia Walther
Guest-Links and Tokens allow you to optimize communication with your guests. With just one click, guests can perform important actions, while personalized content enhances the relevance and impact of your emails. It’s important to understand which links are required or not allowed for each email type to ensure smooth communication.
What are Guest-Links?
Guest-Links are clickable links that allow guests to perform specific actions directly. These links are embedded in emails or on web pages and are personalized for each guest. Here are some common actions triggered by Guest-Links:
- Unsubscribe from emails: Guests can quickly unsubscribe from your email list.
- Accept the event invitation: Guest can confirm their attendance.
- Decline the event invitation: Guests can decline their attendance.
- Edit invitation: Guests can edit their previous responses.
- Access the virtual event platform (VEP): Guests are directed to the virtual event platform.
- Download tickets or wallet passes: Guests can download personalized tickets, wallet files, or PDF tickets.
- Add event to calendar: Guests can directly add the event to their calendar.
What are Tokens?
Tokens, also known as placeholders, allow you to automatically insert specific event or guest data into emails or web pages. These placeholders adjust email content to each guest individually. Common Tokens include:
- Guest name: Automatically inserts the guest's name.
- Event details: Includes the event location, date, and time.
- RSVP status: Provides information on whether the guest has confirmed or declined attendance.
Using Tokens ensures that each communication is relevant and tailored to the recipient.
Email Types and Guest-Links
Certain email types require specific Guest-Links to be included for the emails to be sent correctly. Other links are optional or may not be included at all. Here is an overview:
Email type | Required guest-links | Optional guest-links | Prohibited guest-links |

Required Guest-Links: These links must be included in the email to enable sending and ensure the intended function.
Optional Guest-Links: These links can be added to the email depending on the needs, but they are not mandatory.
Prohibited Guest-Links: These links must not be included in the email, as they don’t align with the email’s purpose
Conclusion
Guest-Links and Tokens increase the efficiency and relevance of event communication. Correctly using Guest-Links in the different email types ensures smooth interaction for your guests and tailored communication to their specific needs.
